Clerra for Microsoft Teams

What needs you, in a Teams chat.

A personal chat from Clerra in Microsoft Teams that messages you when something needs you, with a button to open it in Clerra. It works on Teams desktop, web and mobile.

For staff of accounting firms that use Clerra. A Clerra account is required.

What it does

The things that ring your Clerra bell, where you already work.

Clerra messages you in a one-to-one chat. Each message says what happened and has a button that opens it in Clerra.

Approvals waiting on you

Items in Clerra that are waiting for you to approve them.

Work assigned to you

Work handed to you in Clerra, so you see it without opening Clerra first.

Client uploads and messages

When a client uploads a document or sends a message through their Client Center.

The rest of your Clerra bell

The other things that ring your notification bell in Clerra arrive in the chat too.

Who it's for

Firm staff with a Clerra account.

  • Clerra for Microsoft Teams is for the staff of an accounting firm that uses Clerra. You need a Clerra account: your firm's Clerra admin invites you.
  • The firm's clients don't use it. They keep using their Client Center.
Getting started

Add it, open the chat, and you're set.

  1. Add Clerra in Teams

In Microsoft Teams, open Apps, search for Clerra and add it. If your organization manages which apps people can add, your Teams administrator may need to allow it first.

  2. Open the chat

Clerra opens a personal chat with you. If your Microsoft sign-in matches the email on your Clerra account, it connects by itself and says so.

  3. If it doesn't connect

Type sign in in the chat and follow the steps it gives you to confirm in Clerra. This is how you connect when your Microsoft and Clerra emails are different.

  4. That's it

Messages arrive as they happen, each with a button to open the item in Clerra. To stop them, remove the Clerra app in Teams at any time.

Optional · Client meeting notes

Client meetings, on the client's file.

Once it's set up, a Teams meeting a staff member organizes with a client, with transcription on, is saved to that client's file in Clerra. A meeting counts as with a client when one of the client's contacts in Clerra attends. This is set up in Clerra, not in the Teams app.

1. A firm admin, in Clerra

Turns on Settings → Integrations → Microsoft Teams meetings, and chooses whether to switch on AI meeting notes.

2. The firm's Microsoft 365 administrator

Approves Clerra once for the firm's Microsoft 365 organization.

3. The firm's Teams administrator

Turns on transcript access for apps: Teams admin center → Settings & policies → Transcript API access → Microsoft Graph access.

4. Each staff member

Connects their own Microsoft account on their Clerra profile. Nobody's meetings are read until they do.

What lands on the client's file

  • Microsoft's transcript of the meeting.
  • Only if the firm switches on AI meeting notes: an AI-generated summary, action items, and what the client promised to send.

AI notes can be wrong, so check them before you rely on them. Each meeting's notes page has Report a problem.

Where it goes, and what doesn't

  • Transcripts and notes are stored in Clerra in Canada.
  • AI notes are written by Anthropic's AI, in the United States, which reads the transcript to produce them.
  • Meetings with no client in them are never saved.
  • Recordings stay in Microsoft. Clerra doesn't copy them.
Good to know

What it doesn't do yet.

  • It works in a personal chat only. Channels and group chats aren't supported yet.
  • It's in English only.
  • It sends notifications. It doesn't take replies to clients yet: open the item in Clerra to respond.
Data & privacy

What Clerra keeps from Teams.

Clerra stores only what it needs to deliver your messages and, if your firm uses it, to keep meeting notes on the client's file.

To send you messages

Your Teams chat ID and your Microsoft user ID, so Clerra knows where to deliver your messages, and your Microsoft sign-in name, to match you to your Clerra account. The messages themselves are delivered through Microsoft and kept in your Teams chat. Remove the app or type sign out and Clerra stops sending to that chat.

For client meeting notes

The transcript and, if switched on, the AI notes, kept on the client's file in Canada like the rest of that client's records.
